For businesses with too much manual work around inquiries, orders, and customer follow-up.

Does important work sit too long or keep landing back with the same person?

Your team should not have to work harder. The work needs to be organized so someone else can pick it up and keep it moving.

I’m Rutger. I work out where the work gets stuck and, with your team, make clear what needs to change. If you decide to move ahead, I can design, build and put that change into practice too.

See my work in practice Or start with the no-obligation Systems Check

Does this sound familiar?

The temporary workaround has become the way you work.

Another spreadsheet. One more check. A quick handover by email or WhatsApp.

Sometimes there is already software in place. Yet agreements, exceptions and current statuses are still too often maintained outside the system.

  1. An order comes in

The order is in an email, on a Post-it note or in a WhatsApp message.

Someone pulls out the customer details, line items and agreements, then enters them again in Excel, a form or another system.

Work can only start once that information has been completed and checked.

  2. A customer changes something

An address changes. A delivery moves. An appointment is rescheduled.

Someone updates the change in several places and tells everyone who needs to know.

If one place is missed, people are no longer working from the same information.

  3. A customer gets in touch again

First, someone has to work out who has already done what.

The information exists. It is just spread across email, Excel, loose notes and people’s heads.

At the next customer contact, someone first has to find out who spoke to the customer and whether anyone has replied. Only then is it clear who needs to do what next.

From manual work to reliance on a few people

When work keeps coming back to you.

You can delegate tasks without truly being able to let go of the work.

You can divide up tasks. But when colleagues keep coming to you, or the same experienced colleague, for the status, an exception or the next step, the work still ends up with a small number of people.

Not every manual step is a problem. But when customers are left waiting, errors keep returning, or work can only move forward when the right person is available, it is time to rethink how the work is set up.

This is how it should work.

Important work keeps moving, even when someone else takes it over.

Information is recorded once. The current status, next step and person responsible sit with the work. A change is processed once and reaches the places where it needs to be.

  • Less duplicate work, rework and fewer errors.
  • Fewer questions about who needs to do what.
  • More time for customers, decisions and skilled work.

Projects delivered

From manual work and scattered knowledge to a dependable way of working.

These are three projects I have delivered with the companies involved. Each one started with the daily work. I then designed and built what people needed to do that work reliably.

  1. 01

    Snijmeesters

From upload to a production-ready order.

Customers upload their own design, see the price right away, and pay online. The production team receives a complete brief.

    About 1 hour
estimated time saved per online order
    Paid upfront
before the order goes to production

  2. 02

    Palau Dive Adventures

The right follow-up is ready every day.

Conversations, tasks and booking details sit together for each guest. The team decides the next step and what gets sent.

    +23%
active bookings in the measured comparison period
    About 850 hours
estimated time saved per year; not a formal time study

  3. 03

    Pel Marktkramen

From an A4 sheet to an online workspace for the market day.

Knowledge about traders, stall layouts and exceptions has been turned into an online workspace for preparation and running the market day.

    Trial in live use
agreed with two employees for a regular market day
    Results
still need to be confirmed in day-to-day practice

What I do

First understand where the work gets stuck. Then decide what needs to change.

Together with your team, I follow one recurring process from start to finish. We look at where information gets held up, where duplicate work appears, and where questions or exceptions keep coming back to the same people.

The outcome might be a different way of working, clearer ownership, better use of existing software, a connection between existing systems, or custom software. Sometimes, nothing needs to be built.

If a focused investigation makes sense, we agree up front what I will investigate, what I will deliver and what it will cost. I do the work myself. The investigation stands on its own and makes clear what is needed to reach the desired result. We decide separately whether I should also design and deliver the implementation.

You do not need to know the cause or the solution yet.

I’ll talk it through with you: what is happening, whether I can help, and whether a focused investigation makes sense.
